Ukrposhta is launching a new model of cooperation with businesses: what will change

JSC “Ukrposhta” is introducing a new model of cooperation with business clients. From now on, entrepreneurs will be able to use all of the company’s logistics services under a single contract instead of several separate agreements. The changes were announced by the company’s CEO, Ihor Smilianskyi, according to "Komersant Ukrainian"

What will change for business clients

Previously, companies that used various Ukrposhta services had to sign between 7 and 10 separate contracts—depending on the types of shipments.

This includes, in particular:

  • domestic parcels
  • international shipments
  • letters
  • logistics services.

Now all these services are combined into a single contract, which significantly simplifies document flow.

How the new system will work

The new contract can be signed online via the official Ukrposhta website. To do this, you do not need to:

  • visit an office in person
  • exchange paper documents
  • sign additional agreements for new services.

Under a single contract, businesses will be able to:

  • add new services
  • cancel unnecessary services
  • change logistics solutions.

Who is this solution for

The company notes that the innovation is primarily aimed at small and medium-sized businesses, for which the speed of service activation and logistics flexibility are of great importance.

Ukrposhta explains:

“We see a demand from businesses for simple and fast solutions. It is important for entrepreneurs to minimize bureaucracy, especially when the market requires prompt action. A single contract will help make logistics not an obstacle, but a tool for development.”

What will happen to existing contracts

For entrepreneurs already working with Ukrposhta, the terms of cooperation remain unchanged.

The company clarified:

  • there is no urgent need to renew contracts
  • all existing agreements remain valid
  • the transition to the new model will take place gradually over the course of the year.

What is required to sign a single contract

  • Fill out the online form;
  • Have a valid QES (qualified electronic signature);
  • Prepare registration documents.

To conclude a Single Agreement, it must be signed by an authorized person—a manager or a representative acting under a power of attorney.

What documents are required for an individual entrepreneur

  • Passport (or another document that identifies the person and, in accordance with Ukrainian law, can be used within Ukraine to enter into legal transactions) and the individual entrepreneur’s/representative’s TIN;
  • An extract from the Unified State Register of Legal Entities, Individual Entrepreneurs, and Public Organizations, issued in the name of the current manager (the date of issuance must not exceed 30 days);
  • Extract from the Unified State Register of Legal Entities, Individual Entrepreneurs, and Public Organizations;
  • Extracts regarding the taxation system (VAT/single tax);
  • Certificate (extract from the Unified State Demographic Register or extract from the territorial community register) containing information regarding the place of residence;
  • Bank statement regarding open accounts or a client letter in any format regarding open accounts (bank name, MFO, current account number (IBAN));
  • Application form/questionnaire — you fill it out online when signing the contract;
  • Power of attorney, if signed by a representative;
  • Licenses (if applicable).

What documents are required for a legal entity

  • An extract from the Unified State Register of Legal Entities, Individual Entrepreneurs, and Public Organizations, issued in the name of the current manager (the document must not be older than 30 days);
  • Certificate of registration from the Unified State Register of Legal Entities, Individual Entrepreneurs, and Public Organizations;
  • Constituent documents (e.g., articles of association/founding agreement/incorporation deed/bylaws). Founding agreement (if the articles of association do not specify the founders’ shares);
  • A bank statement confirming the opening of an account or written information on the legal entity’s letterhead, signed by its director, regarding the bank details where the account was opened and the current account number (IBAN);
  • Extracts regarding the tax system;
  • Passport (or other document proving identity and, in accordance with Ukrainian law, usable within Ukraine for entering into legal transactions) and the TIN of the head/representative, a certificate with information on the place of residence;
  • Power of attorney for the representative (if necessary);
  • Documents confirming the authority of the manager and representative (appointment order, minutes of the general meeting, power of attorney, employment contract, etc.);
  • Licenses (if available);
  • Questionnaire/form — you fill it out online when signing the agreement;
  • Schematic representation of the ownership structure (current as of the date of the agreement) indicating information about the ultimate beneficial owner (controller)—surname, first name, and patronymic (if applicable) of the individual(s), citizenship, country of permanent residence, and date of birth, or information confirming the absence of an ultimate beneficial owner;
  • Certified copies of the counterparty’s balance sheets (Form No. 1-m “Balance Sheet”), which shall contain information regarding the value of the counterparty’s assets as of the end of the quarter/year preceding the conclusion of the Agreement.

  • improve conditions for e-commerce development
  • make cooperation with postal operators more flexible.
